What decides it

Your sending reputation, the quality of your list, your content, and the technical setup.

What Gadura handles

Sending is authenticated for you: Gadura sends from its own verified domain, adds the unsubscribe link and your footer address, and suppresses bounced and complained addresses automatically. There is nothing for you to configure.

What you handle

  • Only add people who asked to hear from you. Never a bought list.
  • Send consistently rather than in bursts.
  • Watch Needs attention in Contacts and let suppression do its work.
  • Plain, honest subject lines. No capitals, no rows of exclamation marks.
  • Balance images with text.

Watch

Email Studio → Analytics: open rate around 20 percent or more is healthy, click rate 2 to 5 percent, bounces under 2 percent, complaints as close to zero as you can keep them.

How do I add someone to my email list?

One person

Audience → Contacts → Add contact: email, name, tags, and a confirmation that they agreed to hear from you.

A form on your site

Add a form, opt-in or newsletter block to a page in the website, landing page or funnel builder. Submissions become contacts with the page's tag.

A CSV

Audience → Contacts → Import, up to 5,000 contacts per file, with a consent confirmation.

Automatically

Buyers, students and community members become contacts when they buy, enrol or join.

Only add people who gave permission.

Why didn't my email send?

Check the status

In Email Studio → Your Emails: Draft means it was never sent. Scheduled means it is waiting for its time. Sending means it is going out. Sent means it went. Failed means something stopped it; message us and we will look at the logs.

Common causes

  • It is still a draft. Open it and send or schedule.
  • The audience is empty: the tags you chose have no healthy subscribers.
  • The scheduled time has not arrived.
  • A series email only goes to people who have entered that series. Check the Triggers or Automations that add them.

Checking delivery

Open a sent email and choose Analytics for sent, opens and clicks.

How do I send a welcome email to new subscribers?

Build the series

  1. Email Studio → Email Series → New series, named Welcome.
  2. Add the welcome email with no wait, so it goes immediately.
  3. Add anything you want to follow, each with its own wait.
  4. Activate.

Connect it

Email Studio → Triggers → New Trigger: when someone joins your list, then start an email series, choose Welcome, immediately. Or build it in Audience → Automations with a Form Submitted trigger and an Add to Sequence step.

What to say

Thank them, deliver what you promised, say what will arrive next and how often, and invite a reply.

Sending Broadcast Emails

A broadcast is a one-off email to your list.

Sending one

  1. Email Studio → New Email, from a blank canvas or a template.
  2. Subject and preview text.
  3. Build the email from blocks.
  4. Choose All subscribers or only contacts with specific tags.
  5. Send a test to yourself, check the spam score, then send now or schedule.

Subject lines

Under fifty characters, specific, honest. No capitals, no exclamation marks in rows.

Afterwards

Open the email's Analytics for opens, clicks and unsubscribes, and the Best Time to Send chart once there is data.

Using the Email Builder

The layout

Blocks on the left, your email in the centre, the selected block's settings on the right.

Blocks

Text, Image, Button, Divider, Spacer, Columns, Quote, Countdown, Product, Hero, Logo, Social, Media, Numbers, HTML and Footer.

Editing

Click a block to select it. Content settings change what it says; style settings change colours, spacing and alignment. Move blocks up and down, duplicate or delete them.

Preview

Desktop, mobile and dark mode.

Saving

The builder saves as you work; use Save before leaving if you are unsure.

Why aren't my emails being delivered?

Check the numbers

Open the email's Analytics: sent, opens, clicks, bounces, spam complaints, unsubscribes.

Bounces

The address does not exist or the inbox is full. Gadura suppresses bounced addresses automatically; they show under Needs attention in Contacts.

Landing in spam

Sending is authenticated by Gadura, so this is about content and reputation: shouty subject lines, too many links, image-only emails, or a list with many people who never asked. Ask engaged readers to add you to their contacts.

Low opens

Test subject lines, send when your chart shows people open, and prune people who have not opened in months.

Warm up

A new list does better with smaller, steady sends to your most engaged people first.

Message us from the Help launcher with the email's name.

Adding Images to Your Emails

Click any image placeholder to upload an image or choose one you have used before. JPG, PNG, GIF and WebP, up to 10 MB.

Where images go

The Image block, Hero, Columns, Logo, Product and Media blocks.

Good practice

Keep images light so emails load quickly, write alt text for every image, keep important words out of images, and check the mobile preview.

If an image does not show

Re-upload it. Some email apps hide images until the reader allows them.

Customising Block Colours in Emails

Select a block and open its style settings.

What you can colour

Text and links, buttons (background, text, border), hero overlays, quote cards, dividers, product titles and prices, countdown numbers and labels, and the footer.

Brand colours

Your brand colours from Settings → Brand appear in every colour picker.

Keep it readable

Dark text on light backgrounds or the reverse, one accent used sparingly, and a look at dark mode in the preview.

Sending Test Emails

Before every send, choose Send test in the builder and enter your address.

What to check

The subject and preview text, personalisation tokens, images, every link and button, the footer with its unsubscribe link and address, and how it reads on your phone.

If the test does not arrive

Check your spam folder and that Settings → Email holds a sender name.

Using the Spam Score Checker

Choose Check spam score in the builder. It reads your subject and content and lists what to fix.

What raises the score

Capitals and rows of punctuation in the subject, words like FREE and URGENT, too many links, images with little text, shortened URLs.

What Gadura already handles

Sending is authenticated from Gadura's verified domain, and the unsubscribe link and your footer address are added for you.

Habit

Check before every send and again after changes.

Personalising Emails with Merge Tags

Available tags

{{first_name}}, {{last_name}}, {{full_name}}, {{email}}, {{company_name}}, {{company_address}}, {{creator_name}}. In new post emails, {{post_title}} and {{feed_name}} as well.

Where

In the subject line and anywhere in the body.

Tips

Use a name once or twice, not in every sentence. Send a test to see the tags filled in. If a tag shows as raw text, check the spelling and the double braces.

Email Auto-Save and Drafts

The builder saves your work as you go, and warns you if you try to leave with unsaved changes. Use Save before leaving if you want to be certain.

Drafts

Every new email is a draft until you send it. Find drafts under Drafts in Your Emails and continue where you left off, on any device.

New Post Emails

Send an email automatically when you publish on your journal.

Setting it up

  1. Go to Email Studio → New post emails.
  2. Add your journal feed.
  3. Set the subject template, for example New: {{post_title}}.
  4. Choose full post content or an excerpt, whether to include the featured image, and whether to add a Read More button.
  5. Choose the audience: all subscribers, or only contacts with specific tags.
  6. Save.

What happens

When a new post appears in the feed, Gadura creates the email and sends it to the audience you chose.

Understanding Best Time to Send

Open a sent email's Analytics and scroll to the Best Time to Send chart. It shows opens and clicks by hour of the day, in your time zone, and names the best-performing hour.

Using it

Schedule your next email in the hour your readers open. Give the chart a few sends and a few hundred opens before you trust it; a single small send is noise.

Managing New Post Email Settings

Under Email Studio → New post emails, open a feed to change:

  • the subject template, with {{post_title}} and {{feed_name}};
  • full post content or an excerpt;
  • the featured image on or off;
  • the Read More button;
  • the audience: all subscribers or specific tags.

Delete a feed to stop the emails.

Reordering Emails in a Series

Open the series under Email Studio → Email Series and drag an email up or down. The order saves, and each email keeps its own wait time.

People already in the series carry on from the email they are on; the new order applies to everyone who enters afterwards.

Email Automation Triggers Overview

Triggers are simple rules: when something happens, do something.

Where

Email Studio → Triggers → New Trigger.

When

Someone joins your list; someone fills in a form; someone buys; they join your community; they visit a page; they open your email; they click a link; they start an email series; they finish an email series; they go quiet; you tag someone; you remove a tag; a date arrives.

Then

Send an email; start an email series; stop an email series; add a tag; remove a tag; notify me; send data elsewhere (a webhook).

When exactly

Immediately, or after a delay.

Watching

Each trigger shows how many times it has fired.

For branching flows with waits and conditions, use Audience → Automations.

Protecting Your Email Edits

The builder saves as you work. If you try to close the tab or move away with changes not yet saved, the browser warns you first. Choose to stay and save, or leave and keep the last saved version.

Purchase Triggers

Email Studio → Triggers → New Trigger: when someone buys, any product or a specific one, then send an email, start a series, add a tag, or notify you, immediately or after a delay.

Examples

  • Any purchase: start the New Customer series.
  • A specific course: add the tag for that course, then start its onboarding series.
  • A specific product, after seven days: start an upsell series.

Tag Triggers

Email Studio → Triggers → New Trigger: when you tag someone or you remove a tag, then send an email, start or stop a series, add or remove another tag, or notify you.

Examples

  • Tagged Interested in marketing: start the marketing tips series.
  • Tagged Hot lead: notify me and send a "book a call" email.
  • Tag Engaged removed: start a win-back series after a day.

Avoid loops where tag A starts a series that adds tag B that starts a series that adds tag A.

Email Engagement Triggers

Email Studio → Triggers → New Trigger: when they open your email or they click a link, on any email or a specific one, then send a follow-up, start a series, or add a tag.

Examples

  • Clicked a link in the launch email: start the sales follow-up series.
  • Opened any email: add the tag Engaged.

Keep follow-ups sparing; too many feel like surveillance.

Date and Inactivity Triggers

A date arrives

Email Studio → Triggers → New Trigger: when a date arrives, then send an email or start a series.

They go quiet

When they go quiet for a period you choose, start a win-back series or send a "still there?" email. Start gently at thirty days, and let genuinely inactive people go; a smaller engaged list delivers better.

Sending and Scheduling Emails

Sending

Open the email, choose the recipients (all subscribers, or contacts with specific tags), then send now or schedule.

Scheduling

Pick the date and time. The email shows as Scheduled until it goes, and you can still edit it before then.

Before you send

Subject, preview text, a test to yourself, the spam score, and every link.

Recurring emails

For emails that should go out on a schedule to each new person, use an Email Series, not a scheduled broadcast.

A/B Testing Subject Lines

Turn on the A/B test in the builder and enter a second subject line. Gadura sends each subject to part of your audience, measures which is opened more, and sends the winner to the rest.

Doing it well

Change only the subject, make the two genuinely different, and use it on larger sends; a handful of opens cannot pick a winner.

Using Email Templates

Starting from a template

Choose Use a template when you create an email. Templates are grouped: Welcome, Newsletter, Sales & Launch, Announcements, Win people back, Content, and My Templates for your own.

Saving your own

Save an email as a template to reuse its layout. Changing a template later does not change emails already made from it.

Team

Templates belong to your workspace, so your team can use them too.

Understanding Email Analytics

Per email

Open any sent email and choose Analytics: sent, opens, clicks, open rate, click rate, click-to-open, bounces, spam complaints, unsubscribes, and revenue attributed to the email.

Overall

Email Studio → Analytics: the same measures across everything you have sent, the activity trend, your top performing emails, and email health.

What the measures mean

  • Open rate: opens divided by sent. Twenty to twenty-five percent is average. Opens are counted with a tiny image, so readers who block images are missed; real opens are higher.
  • Click rate: clicks divided by sent. Two to five percent is average.
  • Click-to-open: of those who opened, how many clicked. This is how compelling the email itself was.
  • Bounce rate: keep under two percent by keeping the list clean.

Improving

Low opens: subject lines and send time. Low clicks: one clear button, copy that matches the subject. High bounces: prune the list.
