Managing Contacts

Audience → Contacts holds everyone who has joined you, in one list.

What a contact is

A subscriber, a lead from a form or page, a buyer, a student, a community member, or someone you added or imported. One person, one record, however many ways they arrived.

Finding people

Search by name or email, or filter by tag down the side: Newsletter, Website, Landing Page, Customer, Student, Manual, Imported, Community Member, and your own tags.

A record

Tags, activity, recent purchases, course access and private notes.

Adding people

Add contact for one person, Import for a CSV, and forms, offers and courses add people automatically.

Exporting

Export all downloads a CSV.

Consent and privacy

Add or import only people who agreed to hear from you. Honour unsubscribes, and delete or export a person's data when they ask.

Understanding Contact Auto-Tagging

Gadura tags every contact by how they joined and what they do.

System tags

  • Newsletter: subscribed through your journal.
  • Website and Landing Page: submitted a form on your site or a landing page.
  • Customer: bought something.
  • Student: enrolled in a course.
  • Community Member: joined a Sphere.
  • Manual: added by you.
  • Imported: arrived in a CSV import.

Tags accumulate. A newsletter subscriber who later buys carries both Newsletter and Customer.

Your own tags

New tag on the Contacts page. Apply tags on a record, when adding a contact, to a whole import, or from an automation.

Using tags

Filter the list by any tag, start automations when a tag is added or removed, and branch automations on whether a contact has a tag.

What do the different tags mean?

Tags are labels on a contact. A contact can carry many.

System tags

Applied automatically: Newsletter, Website, Landing Page, Customer, Student, Community Member, Manual, Imported.

Your tags

Anything you find useful: an interest, a campaign, a stage. Keep the names short and consistent.

Where tags are used

  • Filtering the contacts list.
  • Starting an automation when a tag is added or removed.
  • Branching an automation on whether a contact has a tag.
  • Adding and removing tags as steps inside automations.

Where Do My Contacts Come From?

Everyone lands in Audience → Contacts, tagged by how they arrived.

  • Journal newsletter sign-ups: Newsletter.
  • Website forms and landing page opt-ins, including funnel pages: Website or Landing Page.
  • Purchases: Customer.
  • Course enrolments: Student.
  • Community joins: Community Member. Community-only members never count towards your contact limit.
  • Added by you: Manual.
  • CSV imports: Imported.

One person keeps one record however many of these apply, so tags build up into their history. Filter by any tag to see everyone from that source. For where leads come from across the web, Insights → Analytics → Form Analytics shows lead sources and devices.

Someone unsubscribed. Can I add them back?

Not without their explicit request.

What unsubscribing means

They are marked unsubscribed, they receive no more broadcasts, they keep any courses or memberships they own, and they stay in your list for your records.

How they come back

Only they can: by subscribing again through one of your forms, or by asking you in writing. Adding people back who did not ask breaks the law in most countries and damages your sending reputation.

Fewer unsubscribes

Set expectations at sign-up, send what you promised at the pace you promised, and keep subject lines honest.

Where are my subscribers? I can't find them

Everyone is in one place: Audience → Contacts.

Filter by how they joined

Choose a tag down the side: Newsletter, Website, Landing Page, Customer, Student, Community Member, Manual, Imported.

Search

By name or email.

If someone is missing

  • They may have used a different email address. Search by name.
  • Their address may have bounced or complained. Look under Needs attention.
  • They may have unsubscribed; they stay in the list with that status.
  • A form submission may not have completed. Ask them to try again.

Your count

The total shows at the top of the Contacts page, and against your plan limit under Settings → Billing.

How do I add my first contact?

  1. Go to Audience → Contacts and choose Add contact.
  2. Enter the email address, and their first and last name if you have them.
  3. Choose tags, and optionally a course to grant access to.
  4. Confirm you have permission to contact this person.
  5. Add.

For a list of people, use Import instead.

How do I import contacts from another platform?

Go to Audience → Contacts and choose Import.

The steps

  1. Upload a CSV with at least an email column. Up to 5,000 contacts per file; split larger lists.
  2. Map columns: email is detected; map first and last name if you have them.
  3. Consent: confirm how these people agreed to hear from you.
  4. Tags: choose tags to apply to everyone in the file.
  5. Course access: optionally enrol everyone in a course.
  6. Review and import.

What happens

Contacts already in your list are skipped and counted as skipped. New contacts get the Imported tag. Course access granted to someone without an account yet is applied when they create one.

Limits

5,000 contacts per file and five imports a minute. Imported contacts count towards your plan's contact limit.

Before you import

Remove invalid addresses, and only import people who opted in. Imported contacts never count towards Gadura Black milestones.

How do I segment my contacts with tags?

Creating a tag

On Audience → Contacts choose New tag and name it.

Applying tags

  • On a contact's record.
  • When adding a contact.
  • To everyone in an import.
  • From an automation, with the Add Tag step.

Filtering

Choose a tag down the side of the list to see only those contacts.

System tags

Newsletter, Website, Landing Page, Customer, Student, Community Member, Manual and Imported are applied for you.

How do I give a contact access to my course?

From the contact's record

  1. Go to Audience → Contacts and open the person.
  2. Under Course Access, choose Grant Course Access on the course.

When adding or importing

Choose a course when you add a contact, or grant access to everyone in an import.

Good to know

If the person has no account yet, access is granted when they create one. Access granted this way is not a purchase and does not appear in Sales.

What is the difference between contacts and subscribers?

All subscribers are contacts. Not all contacts are subscribers.

  • Contact: anyone in Audience → Contacts.
  • Subscriber: a contact with a healthy email address who has not unsubscribed, so your broadcasts reach them.
  • Unsubscribed: a contact who opted out through the link in an email. They stay in your list, keep any courses or memberships they own, and receive no more broadcasts.

How a contact stops being a subscriber

They unsubscribe through an email, or their address bounces or complains and Gadura suppresses it. Bounced and complained addresses cannot be re-subscribed; an unsubscribed person can subscribe again themselves through one of your forms.

How do I export my contacts?

On Audience → Contacts choose Export all. A CSV downloads with each contact's email, name, subscription status and the date they joined.

Use it as a backup, to analyse in a spreadsheet, or to move a list elsewhere.

What are my contact limits?

What counts

Every contact, including unsubscribed and bounced ones. Community-only members do not count; someone counts once they become a subscriber, a student or a buyer.

Import limits

5,000 contacts per CSV file, and five imports a minute.

Near the limit

Settings → Billing shows your usage and lets you upgrade. Removing bounced and long-inactive contacts also frees room.
