Getting Started with Webinars

Creating one

Sell → Webinars → New Webinar. The setup walks through:

  • Basics: title, subtitle, description, thumbnail, brand colour.
  • Host: name, bio, photo.
  • Schedule: live on a date and time in your time zone, or evergreen on a repeating schedule, with the duration.
  • Video: a YouTube, YouTube Live, Vimeo, Bunny or Zoom address, or another video link.
  • Registration: the registration page's headline, text and button.
  • Offer: an offer to reveal during the session, when to show it and when it expires.
  • Emails: the registration confirmation and the follow-up.
  • Review, then publish.

What registrants get

A confirmation email with their personal link to the webinar room, reminders before the start, and the follow-up afterwards.

Running it

Host Controls let you start and end the session, chat as the host, run polls and watch attendance. A replay can stay available for the hours you choose.

Statuses

Draft, Active, Paused, Ended.

Video Platform Setup

Gadura does not host the webinar video; it embeds yours.

Supported

  • YouTube and YouTube Live: paste the video or stream address. Use Unlisted for a private stream.
  • Vimeo: paste the address; allow embedding in the video's privacy settings.
  • Bunny: paste the embed address.
  • Zoom: paste the meeting link; attendees join Zoom from the room.
  • Any other video address.

How it plays

Live: the room shows the stream at the scheduled time. Evergreen: the video plays as if live for each session. The host's Start Session opens the room; it does not start your stream, which you run on the platform.

Webinar Registration and Automated Emails

Registration

The registration page collects name and email. Registrants receive a confirmation with a personal link to the room; no sign-in is needed. Registering again with the same email keeps the original registration.

  • Registration confirmation, with the room link.
  • Reminders before the session.
  • Follow-up after the session, after the delay you set.

Subjects are set in the Emails step. Registrants become contacts, so your Triggers and Automations can act on them too.

Add the Webinar Registration block to any page.

Using Host Controls During a Webinar

Open the webinar and choose Host Controls.

  • Start Session opens the room to attendees. It does not start your video; run that on your platform.
  • Watch Watching Now and attendance as people arrive.
  • Chat as the host, and pin a message.
  • Polls: create a question, open it, and see the results.
  • End Session closes the room and triggers the follow-up email.

Host Controls is a separate page; you do not need to be in the room yourself.

Selling During Webinars

In the Offer step choose an offer from Sell → Offers & Checkout, set Show offer at (minutes into the session), the Offer Expiry (hours after the session), and the button text.

At the reveal time the offer appears in the room with its checkout. Purchases and offer clicks show on the webinar's analytics, and the sale appears in Insights → Sales.

Be specific on the button: "Enrol in the course" beats "Buy now".

How Evergreen Webinar Sessions Work

An evergreen webinar plays your recorded video on a repeating schedule so visitors can join a session soon after they register.

Setting it

In Schedule choose Evergreen, then the frequency and the availability window. Sessions are generated automatically in the visitor's time.

What visitors see

The registration page offers the next sessions. Their confirmation carries the session time and their room link. The room plays the video as if live; no host is needed.

Emails and offers

Confirmations, reminders, the reveal of your offer and the follow-up all run per session.

Webinar Chat and Polls

Chat

Attendees chat in the room. The host can post, and pin a message so it stays visible.

Polls

From Host Controls, create a poll question with options, open it, and watch votes arrive live. Results show in the room.

Both update live for everyone in the room.

Webinar Replays and Expiry

Turn on Enable Replay and set Replay Available For in hours. After the session ends, registrants can watch from their room link until the window closes. Turn the replay off to stop it.

There is no unlimited setting by design: a closing window keeps the offer's deadline honest.

Adding Webinar Registration to Your Website

Add the Webinar Registration block to any page in the website, landing page or funnel builder and choose the webinar. Visitors register without leaving your page and receive the same confirmation email and room link.

The block takes your page's colours; set its headline and button text in the block's settings.

Troubleshooting Common Webinar Issues

  • Confirmation not received: check the Emails step has the confirmation switched on, and the registrant's spam folder.
  • Room shows no video: check the video address in the Video step and that the platform allows embedding. For a live stream, make sure it is live on the platform.
  • Attendees cannot get in: the session must be started from Host Controls.
  • Offer not appearing: check an offer is chosen and the reveal time has passed.
  • Replay missing: check Enable Replay and that the window has not closed.
